Privacy Notice

When you contact us we will not share your details with anybody else and we will only use the information to contact you in regards to an enquiry about our services.

Our website is hosted and built by WebHealer. WebHealer acts as a Data Processor and processes personal data exclusively on our behalf (e.g., when you submit a contact form). A standard email contact form only captures an enquirer's name and email address along with IP address of the computer used to make the request. No cookies are captured. Enquiries submitted through this contact form are sent directly to us by email from WebHealer and then deleted from its systems. They are retained only until Webhealer is confident they have been successfully delivered. 

What personal data do you need and how will you store it?

When you register for a class, personal training or massage services we will ask you to complete a registration form and health questionnaire.

We use Google forms to collect your data which is password protected and the forms can only be seen by ourselves and are not shared with any outside third party.

Alternatively, you can request to complete a paper form, which will be safely stored in a locked filing cabinet. Massage treatment notes are also completed on paper and provide a record of your treatment. These are also stored in a locked filing cabinet.

Why do you need this information?

We request data about yourselves and your health to be able to safely deliver exercise programmes, classes and/or massage therapy.

How long will you store my information?

We will retain your information for five years after you stop being a client of Wellness Lincs for fitness services or for 7 years after your last treatment for massage therapy. For under 18s, this will be 5 years after turning 18 for fitness services or 7 years after turning 18 for massage treatments.

Will you share my information?

Any information you provide for fitness classes/personal training/massage therapy will not be shared with anybody else unless you give prior consent in regards to care for your health and well-being.

We will only contact you in regards to news about our future classes/services if you give consent.

Complaints procedure

If you have any questions about our privacy policy or the information that we hold on you please contact us. If you believe we are not handling your data correctly you have the right to make a complaint. You should contact us in the first instance.

We will acknowledge receipt of any complaint within 30 days of receiving it and will take swift steps to resolve the complaint. If you are unhappy with our response you should then contact the ICO (Independent Commissioner's Office). Their website link is: https://ico.org.uk/concerns

Under the General Data Protection Regulation (GDPR), you have the following rights regarding your data:

• The right to be informed about how we use it.
• The right to access the personal data we hold about you.
• The right to request correction of inaccurate data or deletion of your data
• The right to withdraw your consent for us to process your data at any time.
